Our client – has been established for many years – currently, is looking for a Sales Office Manager to join their Bulawayo team.

Role:

Directs & Coordinates the Operation of the Bulawayo Sales office to ensure efficient and effective office & warehouse procedures which include Customer Care, Invoicing, Banking, Receipt & Despatch of product, stocktaking, various reports to and liaison with Head Office & Factory.

Develops and manages the performance of subordinates in achievement of agreed strategy, business plans and budgets.

1.    Complies with the policy and system to be used for performance management.

2.    Ensures all subordinates are trained in the use of the system.

3.    Agrees with subordinates key performance areas and indicators for the year

4.    Ensures measurement of output against indicators and conducts and records regular performance appraisal interviews with subordinates.

5.    Diarises and ensures follow up actions are taken.

6.    Provides technical, managerial and personal, mentoring, coaching and counselling to subordinates.

7.    Ensures subordinates are trained and developed to best practice international standards.

8.    Provides ethical guidance and leadership.

9.    Ensures a structured and regular evaluation of activities is built into new plans and activities

Compiles Reports of Sales invoices & payments on a Daily basis.

1.    Prints report from the system of the days cash sales

2.    Collects & counts day’s cash takings from invoice clerk in front Office and balances with system and paper work.

3.    Determines & Records by which method – Cash,  Eco Cash,  Point of Sale,  Bank Transfer – Invoices have been paid.

4.    Compiles Computer & matching hand-written reports of the days or a number of days sales – depending on Quantity of sales.

5.    Allocates Actual cash payments to the relevant invoice in the SAGE Computer System

6.    Sends handwritten record of sales & relevant methods of payment to Head Office for further allocation.

7.    Ensures accurate recording & filing of Sales summaries, invoices, credit notes & payments.

Resolves Customer Queries, Requests & Complaints.

1.    Ensures system in place for enquiries to be directed to Sales office Determines how best to satisfy customer timeously and effectively

2.    Contacts in-house Veterinary Authority if office staff is unable to provide sufficient information to satisfy customer’s queries.

3.    Relays customer’s request to relevant person at head office either by phone call or e-mail if Bulawayo office is unable to comply – e.g. for products held only at Head Office or which need to be sourced from elsewhere.

4.    Fills in Complaint form after interviewing the complaining customer in detail & forward information to Quality Control and Technical Authority at Head Office.

5.    Follows up progress of forwarded messages until complete and ensures customer informed

Manages stock movement, Stock queries & Stock takes.

1.    Liaises with Factory/Head Office on expected date of import or manufacture of “out of stock” product or reasons for unavailability and advises the customer thereof.

2.    Receives or issues stock via miscellaneous options when instructed and authorized under certain circumstances by Financial Director.

3.    Issues & Writes off stock when Donations of stock are made to various local Agricultural Shows.

4.    Delegates communication with in-house & Third Party Transporters to Stock controller/ invoice clerk & warehouse staff.

Ensures that the Office & Warehouse Facilities meet Environmental, Health, Safety & Security Standards & Comply with Relevant Statutory Regulations.

1.    Receives ITF 163 from Head Office, then organises through Head Office payment by Bank Transfer for Bulawayo City Council Trading Licence.

2.    Fills in Application form in triplicate and attaches Proof of Payment & all relevant documents for License from Environmental Management Agency.

3.    Sends Application form for MCAZ – Medical Control Authority of Zimbabwe License to sell Veterinary Medicines to Technical Authority at Head Office.

4.    Provides Warehouse Staff with protective clothing & ensure that they follow standard operating procedures in their duties.

5.    Orders Consumables & Stationery to facilitate ease of normal Warehouse & Office Functions.

Ensures a continuous cycle of review for improvement

  • Develops and implements a system for feedback and corrective action on all systems
  • Monitors and acts to implement improvement accordingly
  • Ensures regular education on relevant activities for continuous improvement to become the approach in the division

 Qualifications & Experience

  • Relevant Business Management/Marketing degree or diploma
  • At least 3 years’ experience in a similar role.
  • Supervisory experience (all ages & races)
  • Bookkeeping & Cash Book
