Administration Manager

Our client seeks to appoint an Administration Manager at their manufacturing plant in Harare. 

Purpose:

To effectively manage the finance, warehouse/supply chain, & information System functions, by means of well-run systems, implemented financial controls and a motivated team              

Responsibilities:

  • Micro- and macro-economic awareness – Remain up to date with macro and micro-economic conditions, legislation, competition, market sentiment and the industry in general, to anticipate and plan for circumstances that may influence the development of the functional strategic plan.
  • Business Intelligence and trend analyses- Collate integrated scorecards / dashboards for work areas, operations, and business groups. Create reports. Perform trend analysis and internal audits.
  • Input into functional planning– Provide input into the development of the company business plan. Analyse business plans and develop functional plans.
  • Provide input into the development business plan– Optimise the Admin function’s core internal processes and internal supply chain in line with the SHARP Protocol and resolve functional operating conflicts.
  • Analyse business plans and develop functional plans. – Engage with subordinates to encourage and recognise improvement.
  • Identify departmental improvement initiatives-Identify recurring problems in the organisation and derive creative solutions involving team members or using own vocational knowledge and experience.
  • Business planning, forecasting and reporting review– Review business plans to ensure budgets within Exco financial targets. Coordinate capital and cash flow forecasting.
  • Capex & Opex Expenditure Control Facilitation– Facilitate the tracking of capital expenditure against business plan and explain variances.
  • Financial Reporting-Assist with the preparation of Plant Level statutory, month-end, interim and year-end financial reporting and closure.
  • Financial Control activities– Run data exception reports and take corrective action.

Conduct document control spot-checks in stores, payroll, pension, cash receipts, and petty cash processes. Assist and oversee reconciliations in above processes

  • Oversee Policy Management– Ensure that all relevant policies, procedures and best practices are in place and are aligned with group policies and procedures. Ensure that document are distributed / available and that staff knowledge and understanding is frequently assessed.
  • Oversee Vendor Management– Ensure that supplier performance is measured against contract performance criteria on a regular basis. Ensure timely and effective resolution of remedial actions is achieved.
  • Oversee Supplier Performance Management- Ensure that supplier performance is measured against contract performance criteria on a regular basis. Ensure timely and effective resolution of remedial actions is achieved.
  • Oversee Procurement Management and control- Ensure that procurements process is maintained and followed at all times in accordance with the companies procurement policy. Ensure timely and effective resolution of remedial actions is achieved.
  • Oversee Stock and Stores Management– Ensure that procurement and stores infrastructure and resourcing is adequate to meet changing customer requirements and needs.
  • Oversee Incident Management– Ensure that all potential or actual information security incidents are investigated and remediation plans are actioned. Assist in formulating preventative recommendations to management to prevent future incidents.
  • Oversee Disaster Recovery Planning– Ensure that business and disaster recovery plans are well documented and up to date.
  • Oversee Network Security– Ensure that the network is regularly evaluated for vulnerabilities recommendations to management on corrective action are taken.
  • Oversee Server Management– Ensure that server health is maintained and take corrective actions promptly where necessary. Ensure that scheduled software updates and deployments are actioned.
  • Oversee Management Information Systems and Information Technology operations- Manage the planning, installation and maintenance decision-making and expansion of network infrastructure.
  • Oversee Information systems infrastructure– Oversee development, maintenance and improvements to management System and processes. Ensure applications support of business objectives.   

Qualification & Experience:

  • B Com or Related Financial Education
  • 5 years Administration / financial management                                                              
  • 5 years Warehouse and supply chain management                                                                       
  • 5 years Business Information Systems                                                                                
  • 5 years People Leadership
