Job Brief:

The Legal Secretary undertakes a variety of administrative and clerical tasks. The goal is to sustain the efficiency of all office procedures to guarantee reliability and consistency. 

Responsibilities:

  • Provides administrative support to a team of Legal Practitioners.
  • Experienced in Litigation and Conveyancing
  • Effectively communicate with Partners, Clients and Colleagues
  • Organizing meetings
  • Filing Court processes on IECMS
  • Transcribing dictation
  • Attending to telephone calls and clients
  • Typing MS Word, PowerPoint, and Excel documents
  • Diary management
  • Filing and document management
  • Compiling Invoices and bills for taxation
  • Making follow-up on accounts
  • Producing legal documents related to property transactions, such as sale/purchase agreements, Title Deeds, loan agreements, and tenancy agreements.
  • Conducting property searches to confirm ownership, outstanding charges, or gathering essential information on properties.
  • Coordinating with government authorities (ZIMRA system, City of Harare, Deeds Office, banks, and other stakeholders to facilitate property transfers while adhering to legal requirements.
  • Handling financial aspects of property transactions including deposits and payment arrangements.
  • Assisting legal practitioners in preparing for property closings and handling post-completion matters.
  • Informing clients on the progress of their transactions while professionally answering their inquiries. 

Requirements and skills

  • Proven experience as a Legal Secretary and Conveyancing secretary is a must!
  • Knowledge of legal terminology, regulations, and court systems
  • Knowledge of MS Office and ability to work with legal technology – court-filing computer systems IECMS, transcription software, dictaphone, billing software, etc…
  • Working knowledge of litigation and conveyancing
  • Proficiency in English
  • Outstanding time-management and typing skills.
  • Ability to multitask and comfortable dealing with a diverse pool of people.
  • 2 ‘A’ Levels, a University Degree will be an added advantage.
