Our Client is an export earner and high profiled operation which is key to Zimbabwe’s current and future success. We seek applications for the role of Executive Assistant with at least 5 – 10 years’ experience supporting Senior Executives – high-powered assistant with administrative skills (very essential). You must be a very senior administrator to apply for this role. Ideally, you will be 30 – 45 years of age.
Position Summary:
Reporting directly to the CEO, provides administrative and managerial support to the CEO. As the CEO is not based permanently at the Kadoma Site, but instead frequently travels to South Africa as well as overseas, the incumbent will act as the CEO’s proxy in his absence. Delegate tasks and at times oversee various departments at the Kadoma Site, including production. Responsible for liaising with various entities on behalf of the CEO, including suppliers and contractors, shipping agents, as well as government authorities, and customs officials.
Primary Responsibilities:
- CEO’s proxy whenever CEO is absent from the Kadoma Site
- Delegating work to various departments
- Gathering daily and weekly reports
- Updating with photographs wherever necessary i.e. plants etc.
- Procurement of crucial goods and services; Getting quotes, liaising with suppliers, contractors and arranging logistics
- Paperwork for customs i.e. importation, export, and duty exemptions
Secondary Responsibilities:
- Conducting research and presenting data in a succinct and well-written manner
- Completing Expense Reports
- Arranging meetings, taking minutes, and making reservations
Skills:
- Strong organizational skills with the ability to perform and prioritize multiple tasks with attention to detail
- Approaching situations and employees, suppliers, and contractors with confidence
- Being firm with people (especially with employees, suppliers, and contractors)
- Persistence when results depend on others, in particular with suppliers, contractors, and customs or government officers
- Pragmatic approach that reflects emotional maturity and a desire to work in a highly professional environment
- Respecting the sensitivity and confidentiality of certain information, ideas, discussions, or communications by remaining discreet at all times
- Expert-level writing, grammatical, and editing skills
- Ability to conduct independent research and include citations
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Proficient in Adobe Acrobat
Working Conditions / Additional Information:
- Required to spend the majority of time at the Kadoma Site, and thus needs to be content with living in a rural area quite a distance from the city.
- May be required to travel to Harare from time to time to attend meetings, visit suppliers, visit government authorities, or conduct research.
Qualifications & Experience
- Relevant Degree/ Secretarial qualification and training
- 5-10 years’ experience in supporting Senior Executives
- High Level of proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Publisher, Word)
Location – Kadoma
